AIM OF POLICY: To protect the information and IT infrastructure from threats of external attack; to ensure appropriate use of publicly funded services; and to ensure efficient and appropriate use of staff time for work purposes.
BENEFIT OF POLICY: Ensures that e-mail is used securely and for business purposes only.
REASON FOR POLICY: Ensures that all staff are aware that the use of e-mail is for business purposes only, that appropriate security is in place and that appropriate protective marking is used.
DESCRIPTION OF POLICY:
When applying the following policy to police staff, this should be read in conjunction with the Standards of Professional Behaviour Policy, in particular the standard, Confidentiality.
Northumbria Police will make internal e-mail facilities available to all staff as required, subject to approval of local management. Access to external e-mail will be made available to existing e-mail account holders. Removal of this facility, for a named individual, can be achieved by a request to ICT department by an Authorised Requester. Force e-mail services are restricted to business use only. Non business related e-mails must not be solicited from the Internet.
All e-mails will be stored electronically by ICT Department for a period of time and may be inspected by the Force as per the Lawful Business Monitoring Policy.
E-mail messages will be subject to disclosure in litigation.
